In short
- Your organization owns its data and decides how it is used.
- I use it only for your project and collect only the fields the project needs.
- I never sell or rent it, use it for advertising, or allow it to be used to train AI models.
- I never publish it, and it never appears in my portfolio.
- When the project ends, the tool and its data stay with you, and my working copies are deleted.
1What these rules cover
These rules cover student records, rosters, stats, film notes and any other information about students or athletes that an organization shares with me. They apply to every project, whatever the package.
2Schools and FERPA
A school can share education records with me under FERPA's school official exception. That exception applies only when the school designates me under its annual notice and keeps direct control over how I use and keep the records (34 CFR 99.31(a)(1)(i)(B)).
Before any records change hands, we confirm that arrangement in writing, and I sign your district's data privacy agreement if it has one. I use the records only for the purpose they were shared for, and I do not pass them to anyone else without the school's permission.
3Teams, clubs and youth programs
Many athletes are minors, so their information gets the same care even when FERPA does not apply.
- I ask for jersey numbers and positions instead of names whenever a project allows it.
- I do not ask for medical, injury, health or family details unless the project needs them and you approve it in writing.
- I work with your staff, and I do not contact athletes who are minors directly.
4Where data lives and who can see it
- Before the build starts, we agree in writing where the tool and its data are stored and who can open it.
- Apps and dashboards with real student or athlete data stay private to the people you name. They are never posted at a public link.
- I handle your data myself, and I do not use subcontractors without your written approval.
- I use outside software or AI tools with your data only when your organization approves them, and only when the tool's terms or settings keep your data out of model training.
5If something goes wrong
If I learn of, or suspect, access to your data without permission, including at a service I use, I will tell your named contact within 72 hours. I will share what I know at that point, help you respond, and follow any stricter terms in your data agreement.
6When the project ends
At launch you receive the finished tool, its files and the accounts it runs on, as your quote lists them. The data inside the tool stays with you.
Within 30 days of the end of a project, I delete my working copies of your data, including exports, downloads, email attachments and any backups I control. If you want any of it returned first, tell me and I will send it before deleting. I confirm the deletion in writing.
7Questions from families
Parents, guardians and students should take questions about records to the school or team first, because it controls those records. I will help the organization answer.
